Event Creation and Customization: Building a Seamless Experience
Creating an event in mTap Events is much more than just entering basic details. This section helps event organizers plan every detail, guiding them to think strategically about how to engage attendees from the start. Each step allows you to customize the event for maximum impact and ease of use.
What You Can Do:
Create an Event by Setting Name, Location, Time, and Date:
- Event Name: The event name is the first thing attendees see, so it should be clear and engaging. Instead of just "Annual Meetup," consider names like "2024 Networking Mastery Summit: Connect, Learn, Grow" to give potential attendees a sense of the event's purpose.
- Location: The location search is powered by Google Maps, ensuring high accuracy. Attendees can easily use the event location with navigation apps. If your event is hybrid, you can provide both inperson and virtual locations (e.g., Zoom or webinar links).
- Dates & Time Zones: Clarify time zones if your event involves international attendees. You can include a message like “Sessions are scheduled in IST, so please adjust for your local time zone.”
Customization with a Banner Image and Logo:
- Branding: Use a high quality banner image that reflects the event's theme and energy. For example, a conference about innovation could use a bold, modern image. Your event logo should have a transparent background to ensure it displays well across devices.
- Pro Tip: Choose images that represent your brand’s colors or core messages, and ensure the image is eye catching yet professional.
Detailed Event Descriptions and Instructions:
- Beyond Basics: The description field is more than just a summary. Here, you can include essential information like:
- Parking: “Free parking available at Lot C. Valet services also provided.”
- Dress Code: “Business casual attire recommended.”
- WiFi: "WiFi is provided, details will be available at registration."
- Special Instructions: Add emergency contact details, checkin times, or session reminders.
- Engagement: Add your event’s hashtag to encourage attendees to engage on social media, like "2024NetworkSummit."
Set Access Options:
- Ticketing & MemberOnly Access: You can set up ticket requirements or create exclusive access for members. For instance, “VIP members will have access to private networking rooms after the main sessions.”
- Advanced Access Settings: You can customize ticketing options to allow for guest list approvals or create early access passes for certain attendee categories.
Dedicated Event Landing Page:
- A Central Hub: The event landing page acts as a digital front door for your event. Include all the details attendees might need, such as speaker bios, session overviews, and partner logos.
- Visual Engagement: Consider embedding a countdown timer to create excitement leading up to the event.
- Pro Tip: Add a link to a promo video about your event for attendees to preview, or include downloadable resources to prepare attendees before they arrive.
